These Terms, together with the Booking & Cancellation Policy, Planning Policy and Privacy Policy, constitute the full agreement between you and Beyond Tokyo.
These Terms are designed to keep expectations clear and ensure that journeys operate smoothly for all travellers.
Nature of Service

We are not responsible for:

On-ground support provided during the journey is limited to logistics and coordination and does not replace licensed guiding, interpretation, or tourism services regulated within Japan.
Accommodation providers, transportation operators and experience hosts are independent third-party suppliers. While Beyond Tokyo is not responsible for their independent acts, omissions or service failures, we will make reasonable efforts to assist travellers in resolving any issues that arise with services arranged as part of the journey.
Private & Personalised Journey Planning Retainer
Private & Personalised Journeys are subject to our Planning Policy, which sets out the terms applicable to the planning process, including the planning retainer, consultations, journey proposals, revisions, pricing and the booking process.
The Planning Policy forms part of these Terms of Service for all Private & Personalised Journeys and should be read together with them.
Where there is any inconsistency between the Planning Policy and these Terms of Service specifically in relation to the planning and design process, the Planning Policy will apply. In all other respects, these Terms of Service will continue to apply.

3A. Complimentary Child Travellers
Where an eligible child is permitted to join a Beyond Tokyo journey on a complimentary basis, the complimentary arrangement applies only to the child's participation under the conditions expressly confirmed at booking.
Complimentary children are not entitled to a separately reserved or guaranteed transport seat, separate bed, individual admission, meal or other separately chargeable journey inclusion unless expressly stated otherwise.
Complimentary children are expected to share existing accommodation with their accompanying parent or lawful guardian and travel without a separately reserved seat where permitted by the applicable transport operator and safety requirements.
Any additional costs arising from the child's participation, including mandatory or requested transport seats, tickets, admission charges, meals, bedding, accommodation adjustments or other incidental expenses, will be the responsibility of the accompanying parent or lawful guardian.
Such expenses must be settled directly with the relevant service providers where applicable.
Parents or lawful guardians remain responsible for the child's supervision, care and safety throughout the journey.
Complimentary participation does not exempt a child from applicable supplier conditions, transport regulations, age restrictions or mandatory safety requirements.
Travel Documents & Visa
You are responsible for:
- Holding a valid passport
- Ensuring your passport is valid for at least 6 months from the start date of travel
- Preparing and submitting visa documents
- Applying for and securing your Japan visa
- Ensuring documentation submitted is accurate and complete
We provide:
- Visa document checklist
- Supporting journey documents required from Beyond Tokyo for the traveller's visa application, where applicable
Visa refusal or delay does not create any additional refund entitlement. Any eligible refund will be determined under the Booking & Cancellation Policy.
A valid visa does not guarantee entry into Japan. Admission is determined solely by the relevant immigration and border authorities and is outside Beyond Tokyo's control. Beyond Tokyo does not guarantee a traveller's admission into Japan.
Travellers are responsible for satisfying all applicable passport, visa, immigration, customs and entry requirements.
If a traveller is refused entry, denied boarding due to passport, visa, immigration or documentation requirements, deported, or otherwise prevented from entering Japan, no refund, credit, transfer to another departure or compensation will be provided for any unused portion of the journey, in accordance with the Booking & Cancellation Policy.
Health & Participation Requirements
Journeys generally involve moderate daily walking (8,000–12,000 steps).
By booking, you confirm that:
- You have considered the physical demands and walking requirements of your chosen journey.
- You are responsible for managing your personal health, medication and medical preparedness.
- You will obtain appropriate medical advice before travelling where necessary.
Health-related disclosures, individual suitability and additional support requirements are addressed in Section 7.
Some journeys may not be suitable for very young children due to pace, transport, or accommodation style.
Beyond Tokyo cannot provide medical supervision or specialized care.
5A. Illness, Injury & Personal Emergencies
In the event of illness, injury or another personal emergency during the journey, Beyond Tokyo will make reasonable efforts to assist the traveller in accessing appropriate local support or services.
However, the Trip Lead may need to continue operating the journey for the remainder of the group and cannot guarantee individual accompaniment, supervision or assistance for the duration of the incident.
Any medical, transportation, accommodation or other personal costs arising from the incident will be the traveller's responsibility, subject to any coverage available under their travel insurance.
Traveller Responsibility & Assumption of Risk
6A. Property Damage, Fines & Penalties
Travellers are responsible for any loss or damage they cause to accommodation, transportation, equipment, facilities or other property during the journey.
Any repair, replacement, excessive cleaning or other charges resulting from such damage are the responsibility of the traveller. Where payment is required directly by the hotel, transport operator or other supplier, the traveller must settle the amount directly with them. Where the cost is charged to or paid by Beyond Tokyo, the traveller must reimburse Beyond Tokyo for the actual amount incurred.
Travellers are also responsible for any fines, penalties, cleaning charges, enforcement costs or other charges arising from their own actions, conduct or failure to comply with local laws, regulations, property rules or reasonable instructions during the journey.
Where any such amount is charged to or paid by Beyond Tokyo on the traveller's behalf, the traveller must reimburse Beyond Tokyo for the actual amount incurred.
6B. Luggage
Travellers are responsible for complying with any luggage limits or baggage instructions communicated before departure. Any additional costs arising from excess, oversized or additional luggage — including forwarding, storage, reservations or additional transport — will be the traveller's responsibility.
6C. Free time
During free time, or when participating in activities not included or arranged by Beyond Tokyo, travellers are responsible for their own arrangements, costs and timely return to the group. Travellers must return to the communicated meeting point at the communicated time in order to continue with the group.
Where Beyond Tokyo assists a traveller with an optional activity, restaurant, ticket, reservation or other personal arrangement that is not included in the journey, the associated cost remains the traveller's responsibility and the service remains subject to the relevant third-party provider's terms, availability and cancellation policy.
Beyond Tokyo's assistance with such an arrangement does not make it an included part of the journey.
Travellers who choose to separate from the group or make alternative personal arrangements during scheduled journey time are responsible for those arrangements and for rejoining the group at the next communicated meeting point and time.
Any additional transportation, tickets, reservations or other costs arising from their decision to travel separately will be the traveller's responsibility.
6D. Accuracy of Traveller Information
Travellers are responsible for ensuring that all personal information provided to Beyond Tokyo is complete and accurate, including names and spelling, dates of birth, passport details and any other information required for travel arrangements.
Any costs arising from incorrect, incomplete or subsequently changed information — including ticket reissuance, name corrections, replacement bookings or supplier charges — will be the traveller's responsibility.
Travellers should notify Beyond Tokyo promptly if any information previously provided changes before departure.
6E. Acceptance of risk during travel
Travel involves inherent risks, including but not limited to transportation delays, weather conditions, physical activity, unfamiliar environments, and interactions with third-party services.
By participating in a Beyond Tokyo journey, you acknowledge that:
- You voluntarily accept the normal risks associated with travel and group journeys
- You are responsible for your personal safety, awareness, and conduct during the trip
- You agree to follow reasonable instructions provided by the trip lead for the safety and smooth operation of the group
Beyond Tokyo designs journeys carefully and takes reasonable steps to promote safety; however, we cannot eliminate all risks associated with travel.
Participation in the journey indicates your acknowledgment and acceptance of these inherent travel risks.
Health, Medical Conditions & Fitness to Travel
Travellers are responsible for ensuring they are physically and mentally fit to participate in their chosen journey. Before booking, travellers must disclose any medical or mental health condition, ongoing treatment, or medication-related consideration that may materially affect their ability to travel safely, participate in group activities, or require additional assistance or accommodation.
Beyond Tokyo journeys are small-group experiences and do not include medical supervision, personal caregiving, or specialised therapeutic support.
Beyond Tokyo reserves the right to assess individual participation requirements and decline or discontinue participation where specific safety or operational needs cannot reasonably be accommodated, subject to applicable law.
All travellers are expected to manage their personal health needs and conduct themselves respectfully towards fellow travellers, trip leads, and local partners. Any significant change affecting safe participation must be communicated before departure.
Relevant health disclosures will be handled confidentially and used only for legitimate travel planning and safety purposes, in accordance with applicable law.
7A. Suitability for Small-Group Travel
Beyond Tokyo journeys involve shared schedules, public transportation, considerable walking, changing environments and close interaction with other travellers.
They may not be suitable for individuals whose physical or mental health-related needs, ongoing treatments, or medication-related requirements necessitate continuous personal supervision, specialised care, or levels of individual assistance that Beyond Tokyo cannot reasonably provide.
Travellers must disclose, before booking, any relevant health condition, treatment or medication-related consideration that may materially affect their ability to participate safely or require additional support or accommodation. Disclosure of unrelated diagnoses or medications is not required.
Participation will be assessed individually, taking into account safety, the nature of the journey, reasonable accommodations and applicable law.
Trip Lead & On-Ground Support
We travel together as a group.
Your Trip Lead accompanies the journey as a host and coordinator, helping travellers navigate Japan and enjoy the scheduled experiences. The Trip Lead does not represent themselves as a licensed professional guide under Japan's Interpreter-Guide Act (通訳案内士法).
Your trip lead may ✓
- Assist with transportation, navigation and communication.
- Coordinate daily travel logistics, meeting points and scheduled activities.
- Provide basic translation and practical assistance.
- Share personal observations, recommendations and experiences of Japan.
Your trip lead does not ✗
- Represent themselves as a licensed interpreter-guide or other regulated professional.
- Provide licensed guiding under Japan's Interpreter-Guide Act or specialist guiding services that legally require qualifications or authorisations they do not hold.
- Conduct guided tours inside temples, shrines, museums, or historic sites.
- Deliver professional historical, academic or cultural commentary
- Accept any form of payment inside Japan
Journey planning, booking and payments are administered through Beyond Tokyo's business registered outside Japan.
While in Japan, the Trip Lead participates as a journey host, coordinator and fellow traveller rather than representing themselves as a licensed professional guide.
Where a particular experience requires an appropriately licensed or authorised professional, Beyond Tokyo may arrange an independent third-party provider, subject to availability and the journey's stated inclusions.
Travel Insurance & Liability
Travel insurance is included for journeys departing on or before 23 November 2026.
For journeys departing after 23 November 2026, travellers are responsible for arranging their own appropriate travel insurance before departure. Where travel insurance is included as part of your journey, Beyond Tokyo will make reasonable efforts to arrange a policy on your behalf through an independent third-party insurance provider as a convenience to the traveller.
Insurance is subject to the insurer’s eligibility criteria, including age limits and any other applicable requirements. If the insurer is unable to issue a policy for a traveller, Beyond Tokyo will not be responsible for the non-issuance of the policy, and the traveller will be responsible for arranging suitable travel insurance independently.
Travel insurance is not included for children travelling complimentary under Beyond Tokyo’s child pricing policy. Parents or guardians are responsible for arranging appropriate travel insurance for such children before departure.
Beyond Tokyo is not an insurer, insurance intermediary, broker or claims administrator and does not underwrite, sell, advise on, or guarantee the issuance of any insurance policy or its coverage. Beyond Tokyo does not receive any commission from the insurance provider for arranging the policy.
Where a policy is successfully issued, it provides insurance coverage up to USD 50,000, subject to the insurer's applicable limits, sub-limits, exclusions, deductibles, terms, conditions and eligibility requirements. The USD 50,000 amount represents the overall policy coverage limit and does not mean that every event, expense or claim is covered up to that amount.
The insurance policy is issued and administered entirely by the third-party insurer. Any claim must be made and pursued directly by the traveller with the insurance provider. Beyond Tokyo has no authority or control over the assessment, acceptance, rejection, processing or payment of any insurance claim.
Beyond Tokyo will provide reasonable supporting journey documentation where required for a claim, but cannot represent the traveller in a claim, negotiate with the insurer, influence the outcome or guarantee any payment.
It is the traveller's responsibility to review the insurance policy and certificate carefully, including the coverage, benefits, exclusions, limits, sub-limits, deductibles and eligibility requirements, and to verify that the policy is suitable for their individual circumstances.
Travellers must also verify that all personal particulars shown on the policy are accurate, including their full name and spelling, date of birth, passport details and any other information recorded by the insurer.
Any error, discrepancy, missing information or concern regarding the policy or the traveller's personal particulars must be brought to Beyond Tokyo's attention at least 7 days before departure so that we can assist with requesting a correction or clarification from the insurance provider where reasonably possible.
Beyond Tokyo cannot guarantee that the insurer will accept or make a requested correction and remains uninvolved in the insurer's coverage and claims decisions.
If a traveller requires additional, different or higher insurance coverage, it is their responsibility to arrange this independently.
Beyond Tokyo is not liable for:
- Medical incidents, illness or injuries, except to the extent that liability arises directly from Beyond Tokyo's own acts or omissions and cannot lawfully be excluded
- Loss, theft, or damage of personal items
- Situations arising from failure to follow instructions or local laws
To the maximum extent permitted by law, our total liability — whether in contract, tort, or otherwise — is limited to the total amount you have paid to Beyond Tokyo for the trip.
We are not liable for indirect, incidental, special, or consequential damages.
Group Conduct, Safety & Zero Tolerance
Beyond Tokyo journeys are designed around mutual respect, shared experiences and consideration for fellow travellers. Every participant is expected to behave respectfully towards the trip lead, fellow travellers, local communities and service providers throughout the journey.
These standards apply throughout the journey, including during free time, shared accommodation, transportation and optional activities, where conduct affects the safety, well-being or experience of other participants.
Beyond Tokyo reserves the right to remove a traveller from the journey without refund, where reasonably necessary to protect the safety, well-being or continued operation of the group, subject to applicable law, if their conduct includes:
- Abusive or intimidating behaviour: Shouting at, threatening, verbally abusing, harassing or intimidating the trip lead, fellow travellers, staff or service providers, particularly where such conduct is threatening, aggressive or repeated.
- Sexual Harassment & Unwanted Advances: Unwelcome sexual advances, inappropriate touching, sexually suggestive comments, harassment or repeated romantic or sexual approaches after a person has expressed disinterest or declined consent, regardless of gender.
- Privacy & Personal Boundaries: Invading another person's privacy, entering their accommodation without permission, sharing private information or images without consent, or repeatedly disregarding clearly communicated personal boundaries.
- Persistent disruption: Repeated arguments, confrontational behaviour or conduct that materially disrupts group harmony, activities or the experience of other travellers.
- Disregard for group schedules: Repeatedly failing to respect clearly communicated meeting times, departure schedules or reasonable logistical instructions, causing disruption or delays to the group.
- Disrespectful conduct: Bullying, discriminatory & racist behaviour, personal insults or repeated disrespect towards fellow travellers, the trip lead, local communities or service providers.
- Safety violations: Behaviour that endangers the safety or well-being of any participant, including reckless conduct, dangerous intoxication or refusal to follow reasonable safety instructions.
- Illegal or prohibited activities: Violations of applicable Japanese laws, involvement with illegal substances or other unlawful conduct.
- Interference with journey operations: Deliberately obstructing group movement, refusing reasonable operational instructions or repeatedly demanding individual arrangements that materially compromise the agreed itinerary or other travellers' experience.
- Retaliation: Threatening, intimidating, harassing or otherwise retaliating against anyone for raising a genuine concern, reporting misconduct or cooperating with an investigation.
10A. Respect for Group Timings & Individual Choices
Travellers are expected to arrive at designated meeting points on time, ready to depart at the clearly communicated departure time. Beyond Tokyo is not obligated to delay the group or compromise scheduled activities to accommodate avoidable lateness or individual preferences.
Travellers may choose to skip activities or spend time independently, subject to applicable safety and logistical considerations. Such decisions do not entitle them to refunds for unused inclusions or require Beyond Tokyo to rearrange the group's itinerary, subject to applicable law.
Travellers who choose to separate from the group are responsible for their independent arrangements, with reasonable rejoining information provided by the trip lead where practicable.
If a traveller misses a scheduled departure, the group may proceed without them. The traveller will be responsible for arranging and covering the cost of rejoining the group, with reasonable assistance provided where practicable.
Unless expressly included in the journey, individual escort services, alternative transportation and personalised arrangements will not be provided when a traveller voluntarily separates from the group.
10B. Role & Authority of the Trip Lead
The trip lead is responsible for coordinating the journey, facilitating group movement, managing day-to-day logistics, communicating schedules and helping ensure the smooth operation of the journey.
The trip lead is a journey coordinator and host, not a tour guide, personal attendant or individual escort. Their role does not include providing continuous guided commentary, accompanying travellers during independent activities or arranging personalised services outside the agreed journey inclusions.
The trip lead's reasonable decisions concerning safety, logistics, departure times and group movement are final during the journey.
Travellers are welcome to raise questions, concerns or complaints respectfully. Disagreement alone does not constitute misconduct. However, shouting, intimidation, harassment or persistent interference with journey operations will not be tolerated.
10C. Warnings & Removal
Beyond Tokyo may issue verbal or written warnings where appropriate. However, serious misconduct may warrant immediate removal without prior warning, where reasonably necessary to protect the group.
Sexual harassment, non-consensual physical contact or other serious violations of personal boundaries may warrant immediate removal from the journey without prior warning.
Any decision to remove a traveller will consider the nature and severity of the conduct, its impact on others and the circumstances involved.
Where removal is justified under these terms, the traveller will not be entitled to a refund for unused journey services, subject to applicable law. Any additional accommodation, transportation or onward travel expenses resulting from removal will be the traveller's responsibility.
Where practicable, Beyond Tokyo will communicate the removal decision in writing and provide reasonable information to assist the traveller in making independent onward arrangements.
Beyond Tokyo may report suspected illegal activities, threats or serious misconduct to the relevant authorities where appropriate or legally required.
10D. Reporting Concerns
Travellers may report concerns involving harassment, inappropriate behaviour, safety or personal boundaries privately to the trip lead or directly to Beyond Tokyo through our official contact channels.
All concerns will be taken seriously and handled with discretion. Beyond Tokyo will take appropriate action based on the nature and circumstances of the incident.
These provisions exist to protect the safety, dignity and experience of every traveller and trip lead, not to discourage legitimate feedback or concerns.
Photography, Videography & Media Consent
11.1 Photography & Filming During Journeys
Photography and videography form a regular part of the Beyond Tokyo journey experience. Beyond Tokyo may photograph, film and document destinations, activities, cultural experiences, meals, group interactions and shared moments for journey documentation, storytelling, social media and promotional purposes.
Travellers acknowledge that photography and filming may take place throughout the journey, including in public spaces and during shared group activities.
11.2 Media Consent & Promotional Use
By completing a booking and accepting these Terms & Conditions, travellers acknowledge and agree that photography and videography form part of the Beyond Tokyo journey experience and accept the media provisions set out in this section.
Subject to applicable law and valid consent requirements, Beyond Tokyo may capture, record, edit, reproduce, publish, distribute and use photographs, videos and audiovisual recordings featuring travellers for journey documentation, brand storytelling, website content, organic social media, promotional campaigns and other legitimate marketing and communication purposes.
Such material may be used in its original or edited form, including excerpts, compilations and adaptations, across current or future media platforms and campaigns, without requiring separate approval for each individual publication where valid consent covers the intended use.
Identifiable photographs or videos of travellers will not be used in paid advertising without valid consent for that purpose. Paid advertising includes sponsored posts, boosted content and other paid promotional placements. Ordinary posts, stories, reels and videos published on Beyond Tokyo's official social media channels are not considered paid advertising solely because they promote the brand.
Travellers may decline or withdraw consent for identifiable promotional use in accordance with Section 11.3. Photography and promotional use involving minors remain subject to applicable parental or lawful guardian consent requirements.
11.3 Right to Decline or Withdraw Consent
Travellers wishing to decline promotional photography or filming, or withdraw previously provided media consent, must submit their request in writing by email to Beyond Tokyo's official email address, except where another method of withdrawal must be recognised under applicable law.
Beyond Tokyo will respect valid requests and take reasonable steps to exclude the traveller from subsequent identifiable promotional photography, filming and publication covered by the request.
Travellers are encouraged to communicate their preferences before the journey so that the Trip Lead can accommodate them immediately.
11.4 Previously Captured & Published Media
Withdrawal of consent does not retrospectively invalidate photography, filming or promotional use that was lawful before the withdrawal request.
Beyond Tokyo may retain records of previously granted consent and lawful prior publications where permitted by applicable law.
Following withdrawal, Beyond Tokyo will cease new promotional use of identifiable material covered by the withdrawn consent and address previously published material in accordance with applicable privacy and data-protection requirements.
Previously published material may remain available where continued retention or publication is legally permitted. Beyond Tokyo cannot guarantee the removal of independently shared third-party content or physical materials already distributed beyond its reasonable control.
11.5 Group Photography & Shared Experiences
Photography and filming may take place during group activities, meals, excursions and other shared experiences.
Travellers who decline promotional photography may be asked to step outside specific photographs or recordings. Beyond Tokyo will make reasonable efforts to accommodate these preferences without affecting their participation in the journey.
Declining or withdrawing media consent will not affect guaranteed journey inclusions, accommodation, transportation or scheduled experiences.
11.6 Photography by Fellow Travellers
Travellers may capture personal photographs and videos during the journey, subject to applicable laws, venue restrictions and the privacy of fellow travellers.
Travellers are expected to respect reasonable requests from others not to be photographed, filmed or featured in publicly shared content.
Beyond Tokyo may restrict photography or filming where necessary for safety, privacy, cultural sensitivity or compliance with local regulations.
11.7 Photography Involving Minors
Identifiable photographs or videos featuring minors will be captured and used by Beyond Tokyo only with valid consent from a parent or lawful guardian, in accordance with applicable law.
This requirement applies to journey documentation, organic social media, website content, brand storytelling and paid advertising.
Beyond Tokyo reserves the right to restrict photography, filming or publication involving children where appropriate for their privacy and safety.
11.8 Contact & Requests
Requests concerning media consent, withdrawal or use of identifiable photographs and videos must be submitted in writing by email to Beyond Tokyo's official email address, except where applicable law requires recognition of another communication method.
Beyond Tokyo will review and respond to such requests in accordance with applicable law.
11.9 Beyond Tokyo's Responsibilities
Beyond Tokyo is committed to capturing and using photographs and videos of its travellers responsibly, respectfully and in a manner consistent with the experience and values of the brand.
Beyond Tokyo will make reasonable efforts to ensure that:
- Travellers are represented respectfully and are not deliberately portrayed in a misleading, humiliating, defamatory or derogatory manner.
- Photography and filming respect personal privacy, cultural sensitivities and the rules of venues and establishments.
- Identifiable photographs or videos of travellers are not used in paid advertising campaigns, including sponsored posts, boosted content or other paid promotional placements, without valid consent for such advertising use.
- Organic social media posts, website content, journey documentation and brand storytelling are distinguished from paid advertising, while remaining subject to applicable media consent and privacy requirements.
- Identifiable photographs or videos featuring children are captured and used only with valid parental or lawful guardian consent.
- Requests concerning media consent and withdrawal are reviewed and handled in accordance with applicable law.
Beyond Tokyo retains editorial and creative discretion over the selection, editing, presentation and publication of material lawfully captured and used under these Terms. Individual approval of each photograph, video, edit or publication is not required where valid consent already covers the intended use, unless otherwise required by applicable law.
Force Majeure
Beyond Tokyo is not liable for delays, changes, or cancellations caused by events beyond our reasonable control, including but not limited to:
- Natural disasters or extreme weather
- Public health events
- Government restrictions
- Civil unrest or political events
- Transportation shutdowns
- Strikes or infrastructure disruptions
- Acts of terrorism
We will:
- Communicate promptly
- Seek reasonable alternative arrangements where possible
Depending on the circumstances and amounts recoverable from suppliers, Beyond Tokyo may offer a transfer to another departure, travel credit, or a partial or full refund. Refunds are not guaranteed where suppliers are non-refundable.
12A. Additional Costs Arising from Disruptions
Where travel is affected by events beyond our reasonable control, Beyond Tokyo may modify the itinerary as necessary for safety and continuity.
Additional costs arising from such disruptions may be payable by travellers at actual cost.
These may include:
- Additional accommodation
- Alternative transportation
- Meals and daily expenses
- Rebooking or change fees
- Luggage forwarding or storage
- Costs arising from weather-related disruptions, including rain or snow
- Emergency transfers or arrangements
Beyond Tokyo will make reasonable efforts to assist in arranging suitable alternatives.
Travel insurance may cover certain disruption-related expenses. Claims must be submitted directly by the traveller to the insurer.
Travellers are expected to cooperate with reasonable instructions and adjustments made for safety and continuity.
12B. Liability & Reasonable Mitigation
Beyond Tokyo will not be responsible for delays, disruptions, cancellations or changes arising from circumstances beyond its reasonable control, provided it takes reasonable steps, where practicable, to mitigate their impact on the journey.
Nothing in this section excludes or limits liability arising from Beyond Tokyo's own negligence, wilful misconduct or any responsibility that cannot lawfully be excluded under applicable law.
Itinerary, Pacing & Inclusion Changes
13A. Journey Start & Arrival
Unless otherwise communicated for a specific journey, the journey begins at 10:00 AM on the stated start date at the meeting point communicated by Beyond Tokyo before departure.
Travellers are responsible for arranging their travel so that they arrive at the meeting point on time and are ready to begin the journey.
If a traveller arrives late or is unable to join the group at the communicated start time, the journey may proceed without them. Any activities, transport, meals, experiences, tickets or other inclusions missed as a result will not be refunded, rescheduled or compensated.
Where reasonably possible, Beyond Tokyo will provide guidance to help the traveller join the group at the next practical location. Any additional transportation, accommodation, tickets, transfers or other costs required to join the group will be the traveller's responsibility. Rejoining the group cannot be guaranteed and will depend on the itinerary and logistics at the time.
13B. Daily Meeting Times & Communication
The journey start meeting point and any relevant arrival information will be communicated before departure. During the journey, the meeting point and meeting time for the following day's travel or activities will ordinarily be communicated through the official Beyond Tokyo WhatsApp group by the previous evening.
Travellers are responsible for checking the WhatsApp group and ensuring that they are aware of the communicated meeting point, meeting time and any relevant updates or changes.
Beyond Tokyo does not send separate or individual reminders to each traveller. A message or update shared in the official WhatsApp group will be considered sufficient communication to all travellers in the group.
Where a day is designated as flexible or free time, a fixed meeting point or meeting time may not apply. Any specific arrangements for that day will be communicated through the WhatsApp group where required.
13C. Itinerary & Pacing
The experiences, meals, tastings, hotels, transport and activities described for each journey represent the planned itinerary. The exact order, timing and duration may change based on conditions on the ground.
Beyond Tokyo and the Trip Lead may adjust the day's plan based on group pace, weather, queues, transport schedules, closures, delays, safety considerations and other operational factors.
Where necessary to maintain the overall rhythm and timing of the journey, an activity, stop or place may be shortened or skipped. Where reasonably possible, we will try to provide a suitable alternative, but this cannot always be guaranteed.
13D. Missed or Unavailable Inclusions
If an included activity or place is missed by the group for operational reasons, it will not automatically be rescheduled or carried forward to another day where doing so would disrupt the remaining journey.
Travellers who choose to visit a missed or skipped place independently may do so during available free time, where practical. Any additional transport, entry fees, meals or other costs involved will be the traveller's responsibility.
Where an inclusion becomes unavailable due to weather, operating schedules, supplier availability, transport disruption or circumstances outside Beyond Tokyo's reasonable control, we may adjust the itinerary or provide a suitable alternative where reasonably possible.
Changes made for operational, safety, weather or group-pacing reasons do not constitute cancellation of the journey.
During the journey, if an individual traveller misses an included activity, transport, meal, experience, ticket or other service because they are late, absent, choose not to participate, or fail to arrive at a communicated meeting point at the communicated time, the group may continue without them. The missed inclusion will not be refunded, credited, replaced or rescheduled.
Any additional costs required for the traveller to rejoin the group will be their responsibility.
13E. Accommodation Changes
Hotel categories, room types or exact properties may occasionally change where operationally required. Where this occurs, Beyond Tokyo will make reasonable efforts to provide accommodation of a similar standard.
Such a change does not by itself constitute cancellation of the journey or create an additional refund entitlement.
13F. Refunds for Itinerary Changes
Operational adjustments, itinerary changes, missed or substituted inclusions and accommodation changes described in this section do not qualify for refunds beyond those provided under the Booking & Cancellation Policy, except where required by applicable law.
Included Meals, Tastings & Credits
Where a meal, tasting, food experience or beverage is stated as included, the inclusion covers one standard serving or the specified set/menu per traveller, unless expressly stated otherwise. Additional portions, dishes, beverages, upgrades or personal orders are payable by the traveller.
Where a meal credit or allowance is provided, it may only be used for the meal, venue and period for which it is provided.
Unused credits cannot be carried forward, transferred to another meal, exchanged for another purchase or redeemed for cash.
14A. Welcome & Farewell Dinners
Where welcome and farewell dinners are included, Beyond Tokyo will select restaurants based on group convenience, dietary considerations, availability and proximity to accommodation or transport connections.
Travellers are welcome to share their dietary requirements and preferences. However, restaurant selection, timing and arrangements are determined solely by the Trip Lead, whose decision is final. Individual travellers cannot insist on a particular restaurant or alternative dining arrangement.
We want every traveller to enjoy a satisfying meal and are generally happy to accommodate reasonable additional servings wherever practical.
However, to ensure fairness and prevent excessive or unreasonable ordering, each included dinner is subject to a maximum value of ¥3,000 per traveller, including one alcoholic or non-alcoholic beverage. The Trip Lead may, at their discretion, permit additional food servings beyond this limit. Such exceptions are not guaranteed.
Any expenditure beyond the approved inclusion will be the traveller's responsibility.
Included dinners are provided only at the designated restaurant and time. Travellers who choose not to participate cannot request a replacement meal, carry forward the inclusion to another day, or claim a refund, credit or cash equivalent.
14B. Dietary Requirements, Allergies & Food Restrictions
Meals, tastings and food experiences included in the journey are provided by independent restaurants, hotels, vendors and other third-party food providers.
Travellers are responsible for determining whether any food or beverage is suitable for their individual dietary requirements, allergies, intolerances, religious restrictions or personal preferences.
Beyond Tokyo may communicate dietary requirements to food providers where reasonably possible, but cannot verify ingredients, preparation methods, cross-contamination, cooking processes or compliance with specific dietary or religious requirements, and cannot guarantee that any meal, tasting or food experience will be suitable for a particular traveller.
Travellers with allergies, intolerances or other dietary restrictions must exercise their own judgment and, where necessary, communicate directly with the food provider before consuming any food or beverage.
Where a traveller chooses not to consume an included meal, tasting or food experience because it does not meet their dietary requirements or personal preferences, the inclusion will not be refunded, credited or replaced.
Beyond Tokyo cannot be held responsible for allergic reactions, food intolerances or other food-related illness arising from food or beverages provided by third-party providers, except where responsibility cannot legally be excluded.
Tickets, Passes & Connectivity
Any transport cards, tickets, passes or other travel items provided by Beyond Tokyo during the journey must be kept safely by the traveller.
IC cards are provided with a balance intended to cover transport included in the planned journey. Travellers may also use the card for personal purchases, including at shops, convenience stores and vending machines.
If additional balance is required for transport included in the planned journey, Beyond Tokyo will cover that amount. If the balance runs out because of personal purchases, independent travel or travel outside the planned itinerary, any additional recharge will be the traveller's responsibility.
Any amount personally added to the card by a traveller, including any unused balance remaining at the end of the journey, is non-refundable by Beyond Tokyo.
The IC card is provided for convenience and does not represent a fixed monetary travel allowance or credit.
If an IC card, ticket or pass is lost or damaged, any replacement cost and replacement balance will be the traveller's responsibility.
IC cards provided by Beyond Tokyo remain the property of Beyond Tokyo and are collected at the end of the journey. If you would like to keep yours, please speak to your Beyond Tokyo Trip Lead before the journey ends. Where possible, we’ll be happy to accommodate the request, depending on the journey and circumstances.
15A. eSIM & Mobile Data
eSIM is included for journeys departing on or before 23 November 2026. For journeys departing after 23 November 2026, travellers are responsible for arranging their own mobile connectivity before departure.
Where an eSIM is included, it provides up to 1 GB of mobile data per day for a duration corresponding to the number of nights included in the journey, beginning on the journey start date. The journey departure day is not included.
For example, an 11-day / 10-night journey includes 10 days of eSIM mobile data. eSIM is not included for children travelling complimentary under Beyond Tokyo's child pricing policy.
Any additional data or connectivity required beyond the included allowance or period is the traveller’s responsibility. Mobile connectivity is provided through a third-party network provider, and coverage, speed and availability may vary by location and network conditions.
Group Size, Rooming & Hotel Expenses
Group size is intentionally limited in order to preserve the experience and maintain the pace of travel.
Rooms are twin-share with two separate beds.
Solo travellers are paired with same-gender travellers where possible. If pairing is not possible, a single-room supplement may apply. Travellers booking together who are not a couple may be accommodated separately where required to facilitate same-gender rooming arrangements within the group.
Where a traveller books independently on a twin-sharing basis, Beyond Tokyo may adjust room allocations if another traveller cancels or becomes unavailable.
Where a previously confirmed twin-sharing arrangement can no longer be provided due to another traveller's cancellation or unavailability, Beyond Tokyo will make reasonable efforts to arrange a suitable alternative pairing.
If no suitable pairing is available, the affected traveller may choose to pay the applicable single-room supplement or cancel their booking and receive a full refund of the journey payment, excluding TCS, which will be handled in accordance with the Booking & Cancellation Policy and applicable law.
Specific rooming requests cannot be guaranteed.
16A. Hotel Incidentals & Personal Charges
Personal hotel expenses and incidentals, including minibar, room service, laundry, upgrades, additional meals and other personal charges, are not included in the journey price and are the traveller's responsibility.
These charges must be settled directly with the hotel before departure from the property.
Private Journeys
Beyond Tokyo's Private Journeys are individually designed travel experiences based on an agreed itinerary, travel dates, duration, inclusions, accommodation arrangements and travelling party.
Private Journeys offer greater flexibility than scheduled small-group departures. However, this flexibility remains subject to confirmed reservations, transport schedules, supplier conditions, safety requirements and the operational responsibilities of Beyond Tokyo and its accompanying Trip Lead.
The following provisions apply to all Private Journeys and supplement the general Terms of Service, Booking & Cancellation Policy and Planning Policy.
A. Confirmed Itinerary & Scope of Services
The confirmed journey proposal and booking confirmation establish the agreed scope of the Private Journey, including destinations, accommodation, transport, activities, inclusions, duration and any accompanying Trip Lead arrangements.
Services, destinations, experiences or arrangements not expressly included in the confirmed booking are not guaranteed.
Any changes requested after confirmation are subject to availability, operational feasibility, additional costs and Beyond Tokyo's written approval.
Beyond Tokyo is not obligated to provide additional services or materially alter the agreed journey without a separately agreed arrangement.
B. Traveller-Requested Itinerary Changes
Travellers may request changes to the agreed itinerary, including changes to destinations, sightseeing, accommodation, transport, activities or the daily schedule.
Beyond Tokyo may approve, modify or decline such requests based on operational feasibility, existing reservations, supplier conditions, safety considerations and the practical operation of the journey.
Where a requested change is approved, the private booking party will be responsible for reasonable additional costs directly arising from that change, including:
- Cancellation, amendment or rebooking charges.
- Replacement accommodation, transport, tickets or experiences.
- Additional transfers, vehicles or logistical arrangements.
- Necessary additional transport, accommodation, meals or other expenses for the accompanying Trip Lead.
- Other reasonable third-party costs directly attributable to the requested change.
Previously confirmed services that become unused or non-refundable as a result of traveller-requested changes will remain subject to the applicable supplier conditions and Booking & Cancellation Policy.
C. Meeting Times, Delays & Missed Connections
Travellers are responsible for arriving at agreed meeting points, stations, airports, transport terminals and scheduled activities on time.
Where a delay, absence, personal decision or failure to follow a clearly communicated schedule attributable to the private booking party results in a missed transfer, train, flight, bus, connection or other pre-arranged service, the private booking party will be responsible for the reasonable additional costs directly arising from the disruption.
This responsibility expressly includes necessary replacement bookings and additional expenses for the accompanying Beyond Tokyo Trip Lead, where the Trip Lead's arrangements are affected by the traveller-caused disruption.
Such costs may include replacement transport, rebooking charges, accommodation, necessary meals and other reasonable expenses required to rejoin or continue the agreed journey.
Beyond Tokyo will make reasonable efforts to minimise disruption and avoid unnecessary expenditure.
Where a missed connection results from a delay or service failure attributable to an independent transport provider, the applicable supplier conditions, available remedies and responsibility for the disruption will be considered. Travellers will not automatically be treated as responsible for circumstances outside their reasonable control.
D. Independent Activities & Separation from the Trip Lead
Travellers may choose to undertake independent activities, skip scheduled experiences or temporarily separate from the accompanying Trip Lead.
Such decisions do not entitle travellers to refunds for voluntarily unused services or require Beyond Tokyo to rearrange the remaining itinerary, subject to applicable law.
Where independent arrangements cause travellers to miss scheduled connections or agreed meeting times, the resulting additional expenses will be their responsibility.
The Trip Lead is not obligated to abandon existing arrangements, undertake additional journeys or remain available indefinitely to accommodate independent activities.
Reasonable logistical guidance may be provided where practicable.
E. Role, Authority & Availability of the Trip Lead
The accompanying Trip Lead acts as a journey coordinator and host, providing logistical support, travel companionship and assistance with the agreed itinerary.
The Trip Lead is not a licensed tour guide, personal attendant, interpreter, chauffeur or round-the-clock concierge.
The Trip Lead's responsibilities are limited to the agreed journey arrangements and reasonable operational assistance.
The Trip Lead is entitled to appropriate rest periods, personal time and suitable accommodation consistent with the journey's operational requirements.
Requests for additional accompaniment, unscheduled excursions, extended availability or personalised services outside the confirmed itinerary are subject to Beyond Tokyo's approval and may involve additional charges.
The Trip Lead's reasonable decisions concerning safety, transport connections, departure times and operational feasibility will govern the conduct of the journey.
Travellers may raise questions, concerns or complaints respectfully through Beyond Tokyo's official communication channels.
F. Daily Duty Hours & Conclusion of Services
The accompanying Trip Lead's daily responsibilities are limited to the activities, transfers and arrangements specified for that day in the confirmed day-by-day journey itinerary.
The Trip Lead's duties for the day conclude once the scheduled programme and associated logistical responsibilities for that day have been completed.
Following the conclusion of the day's programme, the Trip Lead is considered off duty and is entitled to personal time, rest and privacy.
The Trip Lead is not obligated to accompany travellers for additional sightseeing, shopping, dining, nightlife, personal excursions or other activities outside the confirmed daily programme.
Requests for assistance or accompaniment beyond the scheduled programme are subject to the Trip Lead's availability and Beyond Tokyo's approval. Such arrangements may involve additional charges.
Travellers remain responsible for their independent activities, transportation and personal arrangements after the scheduled programme has concluded.
These limitations do not prevent Beyond Tokyo from providing reasonable assistance in genuine emergencies or fulfilling any obligations expressly included in the confirmed journey.
G. Luggage, Mobility & Personal Assistance
Travellers are responsible for managing, carrying, lifting, loading, unloading and transporting their own luggage and personal belongings throughout the journey.
The accompanying Trip Lead is not responsible for carrying luggage, handling bags or transporting personal belongings on behalf of travellers.
This applies at railway stations, airports, hotels, public transport facilities, accommodation properties and all other locations visited during the journey.
The Trip Lead does not provide personal care, physical mobility assistance, wheelchair pushing, lifting, transfers between seats or vehicles, or other services requiring personal physical assistance.
Travellers requiring such assistance must make suitable arrangements in advance, including travelling with an appropriate companion or arranging professional assistance where necessary.
Travellers are responsible for communicating relevant accessibility requirements before confirming their booking so that the practical suitability of the proposed journey and any reasonable arrangements can be discussed.
Beyond Tokyo may provide reasonable logistical guidance concerning accessibility and available assistance services but does not guarantee the availability or suitability of third-party facilities or services.
These limitations do not prevent the Trip Lead from providing reasonable assistance in an emergency where safe and practicable.
H. Trip Lead Travel, Accommodation & Additional Expenses
Where a Private Journey includes an accompanying Trip Lead, the Trip Lead's agreed transport, accommodation and other specified operating expenses will be included in or otherwise disclosed as part of the confirmed journey pricing.
Travellers are not responsible for additional expenses arising solely from Beyond Tokyo's internal staffing decisions or operational errors.
However, where traveller-requested changes, delays, missed connections, extensions or other decisions attributable to the private booking party create necessary additional expenses for the Trip Lead, those reasonable additional costs will be payable by the private booking party.
This includes replacement transport, accommodation, necessary meals and other reasonable expenses required for the Trip Lead to continue, rejoin or complete the agreed journey.
The private booking party is not responsible for the Trip Lead's unrelated personal expenses.
I. Payments & Settlement of Additional Expenses in Japan
Beyond Tokyo and its accompanying Trip Lead do not accept, collect or process payments in Japan, whether in cash, by bank transfer, UPI, card, digital wallet or any other payment method.
The Trip Lead is not authorised to receive money from travellers, make personal payments on their behalf or advance funds to cover traveller expenses.
Any additional expenses arising during a Private Journey, including replacement transport, missed connections, accommodation changes, additional activities, journey extensions or other traveller-requested arrangements, must be settled directly by the private booking party with the relevant service providers at the time such expenses arise.
This obligation includes reasonable additional expenses relating to the accompanying Trip Lead where the private booking party is responsible for those expenses under these Terms.
Where additional transport, accommodation or other services must be booked for the accompanying Trip Lead as a direct result of circumstances attributable to the private booking party, the private booking party must arrange and settle the applicable charges directly with the relevant service providers.
The Trip Lead is not required to make such payments personally or seek reimbursement from travellers in Japan.
Travellers must maintain sufficient accessible funds and suitable payment methods to meet such expenses throughout the journey.
Where a supplier requires advance payment or a booking cannot reasonably be completed directly by travellers, Beyond Tokyo may, at its discretion, coordinate an alternative payment arrangement through its authorised payment channels in India.
Such arrangements are not guaranteed and may require payment before the additional service is confirmed.
Failure to arrange or complete payment may result in the requested additional service being unavailable.
Beyond Tokyo and its Trip Lead are not obligated to advance personal funds or incur personal financial liability on behalf of travellers.
These provisions do not apply to services already included and paid for under the confirmed journey agreement, or transfer responsibility for costs caused by Beyond Tokyo's own negligence, errors or failure to fulfil its agreed obligations.
J. Weather, Transport Disruptions & Unforeseen Operational Changes
Private Journeys may be affected by weather conditions, natural events, transport delays or cancellations, railway disruptions, road closures, attraction closures, government restrictions, supplier failures or other circumstances outside Beyond Tokyo's reasonable control.
Where such circumstances make it necessary or reasonably advisable to modify the confirmed itinerary, Beyond Tokyo may adjust the route, timing, sequence of activities, transport arrangements, accommodation or other journey services to maintain safety and operational feasibility.
Any additional costs arising from necessary replacement or alternative arrangements due to circumstances outside Beyond Tokyo's reasonable control will be payable by the private booking party at actual cost, subject to applicable law and any refunds, credits or alternative services available from the original suppliers.
These costs may include:
- Replacement trains, flights, buses, taxis or other transport.
- Additional or alternative accommodation.
- New activity, admission or experience bookings.
- Necessary additional transport, accommodation or other reasonable expenses for the accompanying Trip Lead.
- Other reasonable third-party expenses directly required to continue or safely complete the journey.
Beyond Tokyo will make reasonable efforts to identify practical alternatives, minimise unnecessary additional costs and assist travellers with available supplier refunds, credits or rebooking options.
Additional arrangements will be communicated to the private booking party wherever reasonably practicable. Travellers will be responsible for settling applicable additional charges directly with the relevant service providers in accordance with Section I.
Beyond Tokyo is not obligated to fund, advance or absorb the cost of fresh arrangements necessitated solely by circumstances outside its reasonable control.
Where an original supplier provides a refund, credit or replacement service, the benefit of that recovery will be applied in accordance with the applicable booking arrangements and law, without duplicate recovery of the same expense.
Beyond Tokyo will not be responsible for additional expenses caused by independent third-party disruptions except to the extent responsibility arises from Beyond Tokyo's own negligence, failure to exercise reasonable care, breach of its agreed obligations or applicable law.
K. Early Departure, Shortened Journeys & Unused Services
Where travellers voluntarily shorten, discontinue or leave a Private Journey after commencement, unused services will remain subject to the applicable Booking & Cancellation Policy and supplier conditions.
Beyond Tokyo is not obligated to refund, reschedule, replace or compensate for services voluntarily unused by travellers, except where required by applicable law.
Any reasonable additional costs directly arising from the travellers' decision, including necessary changes to the accompanying Trip Lead's transport or accommodation, will be the responsibility of the private booking party.
An early departure does not automatically release the private booking party from payment obligations already incurred under the confirmed journey agreement.
L. Journey Extensions & Additional Days
Requests to extend a Private Journey beyond its confirmed dates or duration are subject to Beyond Tokyo's express approval.
An extension may require additional accommodation, transport, activities, Trip Lead availability, operating expenses and service charges.
The applicable additional costs must be agreed upon before a discretionary extension is confirmed.
Beyond Tokyo is not obligated to extend a journey or make the accompanying Trip Lead available beyond the originally agreed dates.
M. Changes to the Travelling Party
The confirmed journey price and arrangements are based on the number and identity of travellers specified in the booking.
Any request to add, remove, substitute or replace travellers is subject to Beyond Tokyo's approval, supplier conditions and operational feasibility.
Changes to the travelling party may result in revised pricing, accommodation arrangements, vehicle requirements, tickets or other costs.
The private booking party remains responsible for the original booking obligations unless revised terms are expressly agreed upon in writing.
Additional participants may not join the journey or use its booked services without Beyond Tokyo's prior approval.
N. Additional Expenses, Approval & Financial Responsibility
For the purposes of this section, the private booking party means the person or persons expressly identified as financially responsible in the confirmed Private Journey booking agreement.
Reasonable additional expenses arising from circumstances covered by this section will be payable by the private booking party.
Where reasonably practicable, Beyond Tokyo will communicate additional costs and obtain approval before making discretionary bookings or changes.
Where immediate arrangements are reasonably necessary to protect safety, prevent further disruption or secure essential transport or accommodation, reasonable and proportionate expenses may be incurred without prior approval, subject to the payment arrangements set out in Section I.
Such expenses must be directly connected to the disruption and supported by reasonable documentation upon request.
Beyond Tokyo may require payment of additional approved expenses before making further discretionary arrangements, provided this does not compromise essential safety obligations.
O. Operational Feasibility & Right to Decline Changes
Beyond Tokyo reserves the right to decline traveller-requested changes that are unsafe, unlawful, impractical, commercially unreasonable or likely to compromise the confirmed journey's operation.
A Private Journey does not guarantee unlimited itinerary flexibility, unrestricted Trip Lead availability or the ability to modify reservations without additional costs.
Where an approved change cannot subsequently be fulfilled because of supplier availability or circumstances outside Beyond Tokyo's reasonable control, Beyond Tokyo will make reasonable efforts to identify a practical alternative, subject to the applicable booking terms and law.
P. Complimentary Minor Travellers
Where Beyond Tokyo expressly permits a minor traveller to join a Private Journey on a complimentary basis, such participation is subject to the conditions communicated at the time of booking.
Complimentary participation does not include an independently reserved or guaranteed transport seat, separate bed, additional room occupancy entitlement, individual activity admission, meal or other separately chargeable journey inclusion unless expressly confirmed in writing by Beyond Tokyo.
The complimentary arrangement is intended for an eligible young child travelling with their parent or lawful guardian, sharing existing accommodation and travelling without a separately reserved seat wherever permitted by the applicable transport operator and safety requirements.
Parents or lawful guardians remain responsible for the child's supervision, safety, care and compliance with applicable transport, accommodation and attraction requirements.
Where a separate seat, ticket, admission, bedding arrangement, meal, transport service or other additional provision becomes necessary or is requested for the complimentary minor, all resulting incidental and additional costs will be borne by the private booking party and settled directly with the relevant service provider where applicable.
Complimentary participation does not guarantee that a child may travel without a separate ticket or reserved seat on every transport service. Where applicable regulations or supplier conditions require a separate booking, the accompanying parent or lawful guardian must arrange and bear the applicable cost.
Beyond Tokyo is not obligated to provide or absorb the cost of separately chargeable services for a complimentary minor unless expressly included in the confirmed booking.
Nothing in this provision overrides mandatory child-safety requirements, applicable supplier rules or rights available under applicable law.
Q. Responsibility, Limitations & Applicable Law
Travellers remain responsible for the consequences and reasonable additional costs of their own decisions, delays and requests, as specified in this section.
Beyond Tokyo will exercise reasonable care in coordinating the agreed journey, communicating relevant schedules and arranging services within its contractual responsibilities.
Nothing in this section makes travellers responsible for additional costs caused by Beyond Tokyo's negligence, errors, unreasonable conduct or failure to fulfil its agreed obligations.
These provisions do not exclude or restrict any rights or remedies available under applicable law.
R. Relationship With Other Policies & Applicability of General Terms
These Private Journey provisions form an integral part of Beyond Tokyo's Terms of Service and apply in conjunction with its general Terms of Service, Booking & Cancellation Policy, Planning Policy and any other applicable policies expressly incorporated into the confirmed booking agreement.
Where a matter, circumstance, obligation, restriction or responsibility is not expressly addressed in these Private Journey provisions, the relevant provisions of Beyond Tokyo's general Terms of Service and other applicable policies will continue to apply in full.
The absence of a specific provision within this Private Journeys section shall not be interpreted as a waiver, exclusion or limitation of any right, protection, obligation or remedy otherwise established under Beyond Tokyo's applicable policies.
Where a provision specifically governing Private Journeys conflicts with a general provision, the Private Journey provision shall prevail to the extent of that conflict, unless otherwise expressly agreed in writing and subject to applicable law.
Any specific arrangement expressly agreed upon in the confirmed Private Journey booking agreement shall govern the relevant matter, subject to applicable law.
All applicable provisions shall be interpreted together, to the extent reasonably possible, without limiting any mandatory statutory rights or remedies available to travellers.
Travelling with Children
Little travellers are always welcome.
Travellers under 18 must be accompanied by a parent or legal guardian.
Child pricing is based on age at the time of travel:
- Under 6: Complimentary when travelling with two adults as the only child and sharing existing bedding. All journey entries and experiences are included; a separate transport seat is not reserved or guaranteed.
- Under 6: 50% of the adult price when travelling with one adult, or when the family is travelling with more than one child. This includes their own transport seat and all journey inclusions, while sharing existing bedding.
- 6 years to under 12 years: 70% of the adult price, including their own bed, transport seat and all journey inclusions.
- 12 years and above: Standard adult pricing applies.
Travelling with a child under 6 does not automatically increase the standard room size or category. We will always endeavour to find the most comfortable rooming arrangement available for your family, subject to hotel availability and occupancy policies.
Room and bedding arrangements are subject to each hotel’s occupancy policy. If an additional room or different room configuration is required, any additional accommodation cost will be communicated before booking.
Some journeys may not be suitable for very young children due to pace, transport, or accommodation style.
Parents or guardians assume full responsibility for minors throughout the journey.
Governing Law & Jurisdiction
These Terms are governed by the laws of Republic of India.
Any disputes arising from these Terms, your booking, or your participation in a Beyond Tokyo journey will fall under the exclusive jurisdiction of the courts in Panipat, Haryana, India.
Dispute Resolution
Before initiating legal action, both parties agree to:
- Attempt to resolve the matter through written communication
- Allow up to 30 days for resolution
Legal remedies may be pursued if resolution is unsuccessful.
Severability
If any part of these Terms is found invalid or unenforceable, the remaining sections will continue in full force and effect.

By making a booking payment, you acknowledge and agree that:
- All payments are subject to the booking, cancellation, and refund terms outlined in our policies
- Initiating a chargeback for a valid charge may result in suspension of services or cancellation of the booking
